Who Is the Care Team?
Real staff — not bots, not offshore contractors — trained in healthcare operations and supervised to your practice’s standards.
Medical Assistants
Our Medical Assistants handle prior authorization submissions, medication refill coordination, lab and imaging follow-ups, and records requests. They work the administrative side of clinical workflows so your in-house staff can focus on patient-facing care.
Patient Support Specialists
Patient-facing communication handled with care: appointment reminders, follow-up calls, care-gap outreach, and routine question routing. Every interaction stays within the boundaries set by your practice and your physicians.
Office Coordinators
Inter-provider coordination, specialist referral tracking, document management, and workflow support. Office coordinators keep the administrative machinery running between visits — so nothing falls through the cracks from one appointment to the next.
What the Care Team Handles
Administrative and coordination tasks that typically consume 30–40% of your staff’s time.
Prior Authorization
Submitting, following up on, and appealing prior authorization requests. We track status and escalate to your clinical team only when a clinical judgment is required.
Medication Refill Coordination
Routing refill requests to the correct prescriber, confirming eligibility, and communicating outcomes to the patient — without requiring your physician to spend time on routine refill administration.
Records & Referrals
Requesting and receiving records from hospitals, labs, and specialists. Tracking referral status and ensuring your physicians receive the information they need before the next visit.
Patient Outreach
Post-visit follow-up, care-gap reminders, appointment confirmations, and chronic-disease check-ins. All scripted and supervised — your practice sets the parameters, we execute them.
What the Care Team Does Not Do
Clinical authority stays with your physicians. Period.
No Clinical Decisions
The Care Team never makes clinical decisions. No diagnosis, no prescription changes, no treatment recommendations. Every clinical judgment is routed to your physician. If a patient question requires a clinical answer, we direct them to the appropriate member of your practice.
Your Physicians, Not Ours
ElderberryMD does not staff or provide physicians. Your practice’s own physicians remain the clinical decision-makers for your patients at all times. We are a practice-management service, not a clinical provider.
No On-Call Coverage
The Care Team does not provide after-hours emergency medical coverage. For life-threatening emergencies, patients are instructed to call 911. For urgent-but-non-emergency needs, our after-hours care line triages and routes — it does not replace your practice’s own after-hours protocol.
No Autonomous Patient Advice
We facilitate and coordinate — we do not advise. Patient-facing communications follow scripts and boundaries set by your practice. Staff escalate any clinical question to your physicians without exception.
Emergency safety: patients with life-threatening emergencies are always directed to call 911. Mental-health crisis: 988.
Trust & Accountability
Your patients’ data and your practice’s reputation are in good hands.
HIPAA-Compliant by Design
ElderberryMD operates as a Business Associate to your practice. We sign a Business Associate Agreement (BAA) and adhere to HIPAA privacy and security rules. No patient data is sold, shared with advertisers, or used for purposes outside the agreement.
Supervised & Accountable Staff
Every Care Team member is trained, supervised, and operates within defined scope. Activity is logged in the ElderberryMD platform so your practice has full visibility into what was done, when, and by whom.
Your Practice Stays in Control
You define the workflows, the communication scripts, and the escalation rules. The Care Team executes within those parameters. Your physicians set the clinical standards — we follow them.
How the Care Team Plugs Into Your Practice
Sign Up & Set Parameters
Your practice defines the workflows: which tasks to delegate, communication scripts, escalation rules, and any patient-communication preferences.
Care Team Takes the Wheel
Medical Assistants, patient-support specialists, and office coordinators begin handling the delegated tasks using the ElderberryMD platform — fully logged and auditable.
Your Physicians Focus on Medicine
Clinical questions that require physician judgment are routed to you. Everything else is handled. Your in-house staff reclaims hours they used to spend on administrative follow-ups.
Full Visibility, Always
Your practice can see every interaction, message, and completed task through the ElderberryMD dashboard. Nothing happens outside your view.
Your physicians didn’t go to medical school to do paperwork.
ElderberryMD’s Care Team handles the coordination. Your practice sets the rules. Your physicians stay in clinical control.
